THE PRODUCTION BRIEF

MetricStream held its GRC Summit London 2026 at the Royal Garden Hotel in Kensington on Tuesday 2 and Wednesday 3 June 2026, with setup and rehearsals across the first day and the event running on the second day, finishing at 16:00.

The brief called for complete event production across the venue. The Palace Suite was the main plenary for up to 250 delegates, with a 12-metre by 2.5-metre LED video wall as the visual centrepiece, a full audio system, show lighting with moving heads, an autocued lectern and a custom stage build. Two smaller breakout rooms, the Albert Suite and Victoria Suite, each supported up to 40 delegates with their own AV setups.

Beyond the meeting rooms, the brief covered the wider delegate experience across the venue: a branded registration backdrop, a MetricStream exhibitor booth with 43-inch screens, ten wayfinding meter boards and vinyl branding at both ends of the venue’s bar.

EMS Events managed every element under one production plan, from AV, lighting and staging in the plenary, through breakout AV, printed graphics, scenic carpentry and venue-wide branding, delivered by a full production team across both days.

ABOUT THE GRC SUMMIT LONDON 2026, METRICSTREAM AND ROYAL GARDEN HOTEL

The GRC Summit is MetricStream’s flagship annual customer and industry event, bringing governance, risk and compliance leaders together across its regional editions. The 2026 London summit was the European edition, running under the theme of connection, innovation and collaboration, and featuring keynote presentations, panel discussions and networking sessions across the two-day format.

MetricStream is a global enterprise software company specialising in governance, risk and compliance (GRC). Its platform is used by organisations across regulated sectors to manage regulatory, operational, audit, third-party and cyber risk at enterprise scale.

Royal Garden Hotel is a four-star hotel hotel located at 2-24 Kensington High Street in West London, overlooking Kensington Gardens and Kensington Palace. The hotel operates dedicated conference and event spaces, including the Palace Suite used for the summit’s plenary, and the smaller Albert Suite and Victoria Suite used for breakouts. The Palace Suite is one of the venue’s largest event rooms, with a front-of-room footprint that allowed the 12-metre LED video wall and full show lighting rig to sit as the main visual elements without dominating the delegate seating area.

THE EVENT PRODUCTION BRIEF: END-TO-END DELIVERY ACROSS FIVE SPACES AT THE ROYAL GARDEN HOTEL

The event production challenge was co-ordinating an end-to-end delivery across five distinct spaces in the same venue, on the same client timeline, with different formats, technical requirements and physical elements in each.

The Palace Suite plenary called for a large-format LED video wall, a professional PA sized for 250 delegates, a full show lighting rig with moving heads, an autocued lectern and a custom stage build, all installed and rehearsed on the first day, and running through a full event day on the second.

Alongside the plenary, two breakout rooms needed self-contained AV setups, the registration area and MetricStream booth needed branded backdrops with client design print, and the wider venue needed wayfinding signage and mirror branding. Every element had to be planned as one production, with a crew rota calibrated to when each space came into use.

DELIVERING THE SUMMIT AS ONE INTEGRATED EVENT PRODUCTION

EMS Events treated the MetricStream brief as one end-to-end event production. A single project plan covered plenary AV and staging, both breakouts, printed backdrops for registration and the exhibitor booth, and venue-wide branding. Six-person crews handled build and derig, with a scenic carpenter for the stage. On event day, a seven-person crew worked the Palace Suite (five specialists plus two stage hands) alongside dedicated technicians in the breakouts.

THE PALACE SUITE PLENARY WITH A 12-METRE LED VIDEO WALL

The Palace Suite plenary anchored the production. The visual centrepiece was a 12-metre by 2.5-metre LED video wall, built from 120 Absen NT2.6 pixel-pitch panels on twelve floor stands with dedicated truss framing, driven by a Novastar J6+ MCTRL4K display processor.

The audio system used an RCF PA package with two 15-inch active subwoofers alongside RCF ART 912-A and ART 910-A active speakers, mixed live through an Allen and Heath QU16 digital board fed from an AB168 digital stagebox. The wireless microphone package covered thirteen live channels through Sennheiser receivers on UK Channel 38: three handhelds and ten bodypack and lapel systems.

Video content and speaker feeds were switched live through a Roland V-8 HD video mixer, with three show laptops driving content into the LED wall via the Novastar processor.

SHOW LIGHTING WITH MOVING HEADS, LED WASHES AND PROFILES

The Palace Suite lighting rig was built around an Avolites Quartz digital lighting desk, supported by a six-channel DMX controller for the wireless fixtures.

The rig combined four ranges of fixture. Fifteen wireless battery LED PAR cans provided the room wash. Four LED Fresnels and four LED Profiles by Chauvet, both E-EVE50 zoom fixtures, gave the front-of-room key and profile light. Two Chauvet Rogue 3 Wash and two Chauvet Rogue 3 Spot moving heads gave the rig its show capability, ready for cues through the running order.

Two four-metre Doughty Wind Up Winch stands with T-Bar accessories carried the front-of-house lighting positions. A dedicated lighting technician was on site through setup, rehearsals and event day, controlling the rig from the Avolites console.

CUSTOM STAGE BUILD, AUTOCUE AND DIGITAL LECTERN FOR EXECUTIVE SPEAKERS

The stage build was delivered by EMS Events’ scenic carpenter, carpeting the venue’s own platform with a 12-metre by 4-metre black Windsor carpet, with 0.3-metre stage risers extending the footprint as required. Two stage hands were on site through event day to manage speaker handovers and stage adjustments during the running order.

Executive speakers were supported by a dedicated Autocue Flip-Q system with its own Roland V-02 switcher, monitor and technician on site through both days. Prompt text ran from the Autocue software to LCD prompter monitors positioned discreetly in the speakers’ eyelines.

The digital lectern was fitted with a build-in 46-inch Samsung monitor for confidence displays, alongside a supporting Acer 22-inch monitor. Two Shure MX412 gooseneck lectern microphones were mounted in position for speaker use.

TWO BREAKOUT ROOMS, BRANDED REGISTRATION, EXHIBITOR BOOTH AND VENUE SIGNAGE

Beyond the plenary, EMS Events delivered four additional spaces across the venue.

The Albert Suite and Victoria Suite each supported a 40-delegate breakout with contained AV: Electro-Voice ZLX G2 active speakers, an Allen and Heath QU16 mixer, a wireless microphone setup, a 75-inch Samsung 4K display on floor stand, and six or more wireless battery LED PAR cans for room lighting.

The registration area used a 3-metre by 2-metre free-standing TFS frame with graphics printed to the client’s design, giving delegates a branded arrival point. The MetricStream exhibitor booth used a second TFS frame with printed graphics alongside two 43-inch Samsung Full HD displays on floor stands for content playback. Ten self-standing foamex meter boards and vinyl branding on both bar mirrors.

PRODUCTION TIMELINE

The production was delivered as one integrated on-site operation across two days, from initial load-in through to derig.

PRE-PRODUCTION

Event production planning covered the plenary, both breakouts, the registration area, the MetricStream booth and the venue-wide signage. LED wall specification, truss build, PA sizing, lighting rig, printed graphics production and crew rota calculated for a two-day summit across five production spaces.

LOAD-IN, BUILD AND REHEARSALS

A six-person setup crew handled load-in from 07:00, with a scenic carpenter for the stage build and a dedicated LED wall installation technician rigging the 12-metre video wall on floor stands. Full crew ran rehearsals with speakers through the afternoon.

SUMMIT DAY 3 JUNE

On event day, seven crew covered the Palace Suite: five specialist technicians (audio, video, lighting, autocue and general) plus two stage hands. A dedicated technician ran the Victoria Suite breakout. Registration and the MetricStream booth ran self-sufficient throughout the day.

DERIG AND LOGISTICS

Derig ran from 16:00 on 3 June. A six-person breakdown crew cleared the plenary, breakouts, registration, booth and venue signage. LED wall panels were collected by a specialist van run given the over-70-panel volume, returning the full production to the EMS Events' warehouse.

HOW THE EVENT PRODUCTION CAME TOGETHER

The end-to-end event production supported the GRC Summit London 2026 across both days at the Royal Garden Hotel, from setup and rehearsals on 2 June through to derig at 16:00 on 3 June.

 

The Palace Suite plenary carried the 250-delegate main sessions with the 12-metre LED video wall as the visual centrepiece, the RCF PA giving the room clean coverage across the seated audience, and the Chauvet moving-head lighting rig running to cues through the keynote and panel sessions. Executive speakers were supported by the dedicated Autocue system and the digital lectern with confidence monitors, with two stage hands managing handovers through the event day.

Both breakout rooms were ready for their 11:00 opening on 2 June, with the Albert Suite hosting sessions on day one and the Victoria Suite hosting sessions across both days.

 

The branded registration area, MetricStream booth, wayfinding meter boards and mirror vinyl branding gave the wider venue a consistent visual identity outside the meeting rooms, supporting delegate flow through the coffee breaks, networking sessions and general movement across the venue. By bringing every space, every specialist crew role and every branded element under one production plan, EMS Events delivered the summit as a single co-ordinated operation.
