THE PRODUCTION BRIEF
The Tutors’ Association held its 5th National Tutoring Awards on Friday, 3 July 2026, at Royal Lancaster London, the tutoring sector’s black-tie evening of the year, attended by more than 400 guests. The evening celebrated winners across a record 21 categories, judged by an independent panel of 20 industry experts.
EMS Events was appointed to deliver the full technical AV production for the day. In the main ballroom, this covered the LED video wall carrying dynamic content across the ceremony, the professional PA for the seated audience, show lighting with moving heads and warm wall-wash across the ceiling coves, and a custom stage build with a red backdrop and twin marquee light-up ‘NTA’ letters at either side of the stage. A digital lectern with a built-in monitor stood at the front of the stage for hosts and category presenters.
Earlier that day, EMS Events also supplied a Nine Kings Foyer AV setup for The Tutors’ Association’s daytime session, with two 85-inch 4K displays flanking the client’s branded backdrop, a compact PA, and two wireless handheld microphones.
ABOUT THE NATIONAL TUTORING AWARDS AND ROYAL LANCASTER LONDON
The National Tutoring Awards are The Tutors’ Association’s flagship annual event and the UK tutoring sector’s black-tie celebration of the year. The 2026 edition, in its fifth year, was attended by more than 400 guests at Royal Lancaster London, with a record 21 award categories judged by an independent panel of 20 experts across the highest number of applications the awards have received to date.
The Tutors’ Association is the UK’s non-profit membership body for the tutoring and wider supplementary education sector, representing tutors, tuition businesses, online schools and industry partners across the country.
Royal Lancaster London is a four-star hotel on Lancaster Terrace, overlooking Hyde Park and Kensington Gardens in central London. The hotel operates one of the largest dedicated conference and events footprints in the area, with a substantial main ballroom, dedicated reception spaces including the Nine Kings Foyer, and regular hosting of industry awards, gala dinners, and cultural evenings.

A Full-Scale Awards Ceremony For 400+ Black-Tie Guests
The brief called for a full ballroom AV production sized to a black-tie evening for more than 400 guests, carrying the visual identity of the awards from the first table setting through to the final winner reveal.
The main ballroom needed an LED video wall able to carry both the awards branding and dynamic per-category content across the 21 reveals, a professional PA sized to cover the entire ballroom in clean speech and playback, and a show lighting rig capable of moving between warm ambient wash for dinner service and a full colour-and-gobo show state for the ceremony reveals.
A custom stage build was needed to anchor the room, with the front-of-house digital lectern as the primary speaker position across a long list of category presentations. Alongside this, the daytime Nine Kings Foyer session needed its own compact AV setup, ready for a 09:00 opening.
Building The Awards Ceremony Across The Day
EMS Events treated the National Tutoring Awards as a single integrated production, delivered throughout the day at Royal Lancaster London. One project plan covered the ballroom AV build, the show lighting rig, the LED video wall content chain, the custom stage and marquee-letter setup, the PA and microphone package, plus the daytime foyer AV, load-in, rehearsals, and derig, with dedicated technical crew on site through the day.
Custom Stage, LED Video Wall, and Twin Marquee 'Nta' Letters
The main ballroom stage was the visual centrepiece of the evening. An LED video wall sat at the back of the stage, carrying the National Tutoring Awards branding and dynamic per-category content throughout the ceremony, backed by a red curtain finish for a black-tie visual anchor.
Two large marquee light-up letters spelling ‘NTA’ flanked the stage on either side, each on the ballroom floor level, giving the room a strong brand identity from every seated table position.
The front-of-house digital lectern was fitted with a built-in monitor showing the National Tutoring Awards branding on its outward face and served as the primary speaker position for hosts and category presenters throughout the evening.
The main ballroom is fully set up ahead of the awards ceremony, with the LED video wall, red-curtain stage backdrop, twin ‘NTA’ marquee letters, and digital lectern in place.
Led Video Wall Carrying Live Per-Category Content
Across the evening, the LED video wall carried dynamic content for each of the 21 award categories, from the initial shortlist reveals through to the winner announcements, with sponsor logos, category branding and the National Tutoring Awards visual identity.
Content switched cleanly between the awards branding, per-category shortlist slides and the announcement slates, keeping the visual attention of the room aligned to the point in the ceremony without needing the host to explain what was on-screen.
The front-of-house digital lectern carried its own monitor for the host or presenter’s use, allowing them to see the current category and running order without turning to the LED wall behind.

Show Lighting: Moving Heads, Gobo Projection, and Warm Wall Wash
The ballroom lighting rig delivered two distinct visual states across the evening. During dinner service, warm wall-wash lighting carried the ceiling coves and marble columns in an ambient gold, giving the room a considered warm base tone appropriate to a black-tie dinner.
During the ceremony sequences, moving-head fixtures projected star-shaped gobo patterns across the ceiling, adding a distinct show state that lifted the room’s atmosphere without competing with the LED wall content.
The rig was operated live through the running order by a dedicated lighting position, cued to the ceremony flow across the length of the evening.

Pa, Live Sound And The Seated Audience Experience
The ballroom PA was built around professional speaker stacks on stands flanking the stage, sized to give the more than 400 seated guests clean speech intelligibility across the length of the room, from the front tables adjacent to the stage through to the tables at the far end of the ballroom.
The system carried the live speeches from the digital lectern, hosted category announcements, and played music throughout the evening.
Across the ceremony reveals, the sound in the room worked with the LED wall content and lighting cues to elevate each winner announcement, giving guests a consistent audio experience wherever they were seated in the ballroom.

THE PRODUCTION DAY, FROM FOYER OPENING TO CEREMONY CLOSE
The full production was delivered as one integrated on-site operation across the day, from initial load-in through to derig after the evening ceremony closed.
PRE-PRODUCTION
Planning covered the ballroom AV build, LED wall content chain, PA specification, show lighting rig, custom stage design with marquee letters and red backdrop, digital lectern branding, plus the Nine Kings Foyer AV, with crew rota calculated across a full production day.
FOYER SETUP AND DAYTIME SESSION
The Nine Kings Foyer AV was installed from 07:00 for the 09:00 opening, running live through to 15:00 with a dedicated audio technician on site. In parallel, the main ballroom build ran through the day ahead of the ceremony.
BALLROOM BUILD AND REHEARSALS
The stage, LED video wall, PA, show lighting rig, marquee letters and digital lectern were installed and cued in the main ballroom, ahead of the evening ceremony, with content and lighting run through in rehearsal before doors opened for the black-tie evening.
CEREMONY EVENING AND DERIG
The full ballroom production ran across the evening ceremony, with dedicated technical positions covering audio, lighting, video content and stage. Derig ran at the close, with equipment collected by the EMS Events crew and returned to the warehouse.
HOW THE CEREMONY CAME TOGETHER
The full production supported the 5th National Tutoring Awards from the daytime foyer opening through to the close of the evening ceremony at Royal Lancaster London.
The ballroom gave the 400+ guests a black-tie evening anchored on a strong stage build: the LED video wall carried the awards branding and per-category content cleanly across the running order, the twin marquee ‘NTA’ letters gave the room a brand identity visible from every seated position, and the custom red-curtain backdrop with digital lectern anchored the front-of-house.
The professional PA carried the length of the ballroom cleanly across speeches, announcements and playback, giving guests at every table the same audio experience through the evening. Earlier in the day, the Nine Kings Foyer AV supported the daytime session. Between the two spaces, EMS Events provided The Tutors’ Association with one production partner for the full day at Royal Lancaster London.
